This site is operated by Mila Sourcing OÜ, a private limited company registered in Estonia under registry code 17403363, with its registered office at Keevise tn 3, Lasnamäe linnaosa, Tallinn 11415, Estonia ("we", "us", "our"). "Mila Sourcing" is our product brand. References to Mila Sourcing in this policy refer to Mila Sourcing OÜ as the data controller.
2. What this policy covers
This privacy policy explains what personal data we collect when you interact with us, how we use it, who we share it with, and your rights under the EU General Data Protection Regulation (GDPR) and applicable Estonian law.
3. What we collect
- Contact information you provide directly: name, email, phone, company, country, and message content (forms, email, WhatsApp).
- Project information you share for sourcing or production work: product specifications, target prices, volumes, supplier details.
- Technical data from your browser: IP address, device and browser type, pages viewed, referring URL.
- Cookie data: minimal first-party cookies for analytics and a single cookie acknowledgement flag.
4. How we use it
- To respond to your enquiries and deliver the services you've requested (legal basis: contract).
- To match you with sourcing agents and coordinate factory production (legal basis: contract).
- To send transactional updates about your project (legal basis: contract).
- To improve the site and our services (legal basis: legitimate interest).
- To meet our legal and tax obligations in Estonia and the EU (legal basis: legal obligation).
5. Who we share it with
- Sourcing agents and factories in China, but only the specifications and identifiers needed to deliver your project.
- Service providers we rely on (email delivery, web hosting, payment processing, communication platforms). Each is bound by a data processing agreement.
- Legal counsel and authorities where required by law or to enforce our contracts.
We do not sell your personal data. We do not share it with third parties for their own marketing.
6. International transfers
Our operations span the EU and China. Personal data may be transferred outside the EEA where necessary to deliver your project. Where it is, we rely on appropriate safeguards including the European Commission's Standard Contractual Clauses and contractual confidentiality obligations.
7. How long we keep it
We keep project records for as long as needed to deliver the service plus the statutory retention period under Estonian tax and accounting law (typically 7 years for transactional records). Enquiry data from people who don't become clients is deleted after 24 months.
8. Your rights
Under GDPR you have the right to: access your personal data; correct inaccurate data; request deletion; restrict or object to processing; data portability; and to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon). 9. Cookies
We use minimal cookies. A first-party cookie stores your cookie banner acknowledgement. We may use privacy-respecting analytics that does not identify you personally. You can disable cookies in your browser settings; some site functionality may degrade.
9a. Social media publishing
We publish content to our company pages on LinkedIn, X (Twitter), Instagram, Facebook, TikTok, and YouTube using each platform's official API or scheduling tools. When we do this, we publish content we own (articles, images, videos, posts). We do not collect personal data from people who view or engage with our posts on those platforms beyond aggregate engagement metrics those platforms provide to all page owners (impressions, clicks, follower counts). Each platform's own privacy policy governs its handling of your data when you interact with our content there.
10. Security
We use reasonable technical and organisational measures to protect personal data: TLS-encrypted transit, access controls, and minimisation of data collected. No system is perfectly secure.
11. Changes
We may update this policy. Material changes will be announced on this page with a revised "Last updated" date.
