Mila Sourcing vs Alibaba: which is safer for your China order?

Alibaba is where most importers find their first Chinese supplier. This page compares it with Mila Sourcing at each stage of an order, and says plainly when Alibaba on its own is enough.

Short answer

Use Alibaba to find out who sells a product and roughly what it costs. Use Mila Sourcing when you place a real order and the goods need to match what you agreed. Alibaba's Trade Assurance covers on-time shipment and quality against the written order, but only for money paid through Alibaba and only up to each supplier's coverage cap. Mila verifies the factory on the ground in China before any deposit and runs three-stage QC through to shipment, while you pay the factory directly and Mila never holds funds. For a small test order of a simple product, Alibaba alone is often enough.

Where the real difference shows up in an order

On Alibaba, the protection on a $200,000 order can stop at $80,000. Every supplier has a Trade Assurance coverage amount on its profile, and that number caps what Alibaba will refund, whatever your order is worth. Most buyers see the green badge, take it as full cover and never check the figure.

That gap between what buyers assume and what the platform promises runs through this whole comparison. Alibaba is a directory with a payment system attached. Mila Sourcing is a team on the ground in China that runs the order with you: an operations team in Guangzhou, plus verified agents in Shenzhen, Yiwu, Guangzhou, Ningbo and Dongguan. It works through two legal entities, Mila Sourcing OÜ in Tallinn for the EU and Mila Sourcing Guangzhou Co., Ltd. in China.

Finding the supplier

Alibaba is the biggest place to find Chinese suppliers, and nothing beats it for a first look. In an hour you can see who sells a product and roughly what it costs.

The catch is who you find. Most Alibaba listings are trading companies and resellers that buy from a factory and add their margin. The listing format does not make that obvious, so a trader can show photos of a production line it does not own. A good trader can still be a fair deal. A weak one forwards your messages to the real factory and cannot fix a defect on a line it does not control.

The badges help less than they look. Gold Supplier is a paid membership. Verified Supplier means a third-party firm checked the company's basic details and, in the higher tiers, visited the site. Neither badge proves that the company you pay is the one that was inspected. Our answer on telling a real factory from a trading company covers the checks you can run yourself.

Mila agents go to factories directly, working from what they already know about the factories in their own region and category. The difference is what happens before a name reaches you. Within 48 hours you are matched to one of 37 verified agents by product category and region, so a Shenzhen electronics order goes to an electronics specialist. The agent verifies business licences and production capacity, then negotiates with each factory directly. You get 3 to 5 factory-direct quotes inside WhatsApp, usually within about 10 business days. Clients typically pay 20 to 30 percent less than Alibaba pricing; the figure varies by factory and product category.

Paying the supplier

Trade Assurance is Alibaba's free order-protection service, and it is real protection inside a narrow box. It covers two outcomes: the supplier ships on time, and the goods match the specification written into the order. If either fails, you can open a dispute within 30 days of delivery. Mediation usually takes 30 to 60 days. When a refund is due, Alibaba pays you first and then recovers the money from the supplier.

The limits matter more than the cover. Trade Assurance can only enforce what you wrote into the order, so quality agreed on a call has no document behind it. Funds release to the supplier when the order ships, which means you are filing a claim by the time the goods reach you. The biggest gap is payment outside the platform. Pay by direct bank transfer or settle over WeChat, and the protection is gone completely. Suppliers ask for this often, usually framed as a way to save the fee. Our guide to what Trade Assurance actually covers walks through each gap.

With Mila you also pay the factory directly. We say that openly, because direct payment is exactly the move Trade Assurance warns against. It is safe only when the checks a marketplace cannot do have already happened, so with Mila they happen first. The factory is legally verified before money moves, and your agent walks the floor on a GPS-stamped video audit. A bilingual NNN contract, drafted by local Chinese lawyers and enforceable in Chinese courts, is signed before tooling or production deposits release. Payments then move one milestone at a time, after the evidence for that step is in your thread. Mila never holds your funds and takes no commission or kickback from factories. Our own fee is flat and disclosed up front on the pricing page. You pay it per step through Stripe inside the app.

From approved sample to production run

The sample you approve is usually the factory's best work. It is often built in the sample room by its most skilled worker. The production run comes off the line at speed, and a factory with a thin margin may swap in a cheaper material you will not spot in a photo. Between your sample approval and the finished run, nobody on Alibaba stands in the factory for you. If the difference was never written into the order, Trade Assurance has nothing to rule on.

Mila closes that gap with three-stage AQL quality control. Before production, the agent checks materials and tooling and gets a golden sample signed off. During production, a mid-run inspection with GPS-verified video catches errors while they can still be fixed. Before shipment, AQL sampling on finished goods sets the defect rate, and the container does not load until corrective action is agreed. For one European beauty equipment brand, this work cut the defect rate on LED beauty lamps from 8% to 2.5% before mass production. The LED beauty lamp case study shows what the agent found, from uneven soldering on LED driver boards to poorly applied thermal compound in some batches.

Shipping, and the record you keep

On Alibaba, freight is usually arranged through a third party. By the time the container moves, Trade Assurance has already released your money, and your strongest point of pressure has passed.

Under Full Production Management, Mila books sea or air freight and prepares the customs documents. Delivery is coordinated door to door. Typical electronics or consumer goods run 6 to 12 weeks from signed contract to shipped container. Every step lives in one WhatsApp thread you watch and act on, with nothing to install and no portal login to remember. Agents capture photos, video and GPS location inside the app at the factory, so each piece of evidence carries a date and a place. The founders sit in the same thread, and you can reach them at any step. When a factory later claims the spec always allowed a wider tolerance, the signed-off sample and the date it was approved are there to check.

When Alibaba is the better choice

Alibaba on its own is often the right call, and we tell buyers so. It fits when:

  • You are testing a market with a small order of a simple product. For a first test order of around $8,000, Trade Assurance plus a clear written spec covers most of the realistic downside.
  • The supplier's Trade Assurance cover is well above your order value, and you can keep every payment on the platform.
  • You are still deciding whether a product is viable at all.
  • You already work with a factory you trust. You may only need one check before the container is sealed, and Mila offers a factory visit and audit as its own service track.

On a small order, our fee would take a large share of the value to remove a minor risk.

The balance shifts as the order grows. From around $25,000, a few percent of defects or one wrong colour across the run can cost more than the checks that would have caught it. It shifts sooner when:

  • The product is technical or regulated, so "defective" depends on tolerances or certifications that are hard to argue in a remote mediation.
  • Your order is larger than the supplier's Trade Assurance cap.
  • You are paying for custom tooling, or sharing a design that needs an NNN in place before any factory sees it.
  • You plan to reorder. Verification and the contract carry over, so a second order needs far less discovery than the first.

If you already have an Alibaba listing in mind, send it with your specs on WhatsApp. An agent can check whether the seller is the actual factory before you pay anyone.

Questions importers ask

Is it better to use a sourcing agent or Alibaba?

Use each for a different job. Alibaba is the fastest way to see which suppliers exist and what a product roughly costs. A sourcing agent earns its place once real money is at stake, because someone has to confirm the supplier is a factory and check the goods before they ship. For a small test order of a simple product, Alibaba with Trade Assurance is often enough. From around $25,000, an agent on the ground in China is usually the safer route.

What does Alibaba Trade Assurance not cover?

Trade Assurance covers on-time shipment and product quality that matches the written order. It cannot enforce anything you left out of the order text. Money paid outside Alibaba's own payment system has no cover at all. Each supplier also has a coverage cap on its profile, and anything above that amount is unprotected. Funds release to the supplier when the order ships, so by the time goods reach you, you are filing a claim instead of holding the money.

Does Mila Sourcing use Alibaba to find suppliers?

Our agents go to factories directly, working from what they already know about the factories in their own region and category. If you found a supplier on Alibaba yourself, send the listing and your agent can check it. Nothing reaches you as a quote until it has been checked. Your agent verifies the business licence and production capacity and negotiates with the factory directly. You then receive 3 to 5 factory-direct quotes, usually within about 10 business days.

Is Mila Sourcing cheaper than buying on Alibaba?

On the goods, usually yes. Clients typically pay 20 to 30 percent less than Alibaba pricing; the figure varies by factory and product category. The saving comes from quoting factory-direct, without a trading company's margin in between. Mila charges a separate flat fee, disclosed up front on the pricing page, and takes no commission or kickback from factories. On a very small order the fee can outweigh the saving, which is why we point small test orders to Alibaba.

Who do I pay when I use Mila Sourcing?

You pay the factory directly, and Mila never holds your funds. Before any deposit, the factory is legally verified and a bilingual NNN contract drafted by local Chinese lawyers is signed. Payments then move one milestone at a time, after the evidence for that step is in your WhatsApp thread, so you never wire the full order on trust. Mila's own fee is paid per step through Stripe inside the app.
